SWITCHING TO A BOOKING SYSTEM
You may have heard the news …. Things are changing around here!
As of 1st April, we are moving over to BOOKWHEN, an online booking system. This is to enable LucyPole to fight against Covid and the cost of living crisis, stay open, stay profitable, and keep growing and being able to offer ALL the good stuff that we want for you.
As of Monday 9th April 2024, you will need to BOOK THE CLASSES YOU WOULD LIKE TO ATTEND.
Logon to our Bookwhen site at www.bookwhen.com/lucypole. PLEASE MAKE SURE YOU DO THIS BEFORE CLASSES ON WEDNESDAY 10th APRIL 2024.
Once you have logged on to the site, you will need to create an account, using your email, a password, and payment details. YOU WILL NOT BE PAYING UNTIL MAY.
For the month of April, you will book each week’s class. You can do that weekly, or do them now, all at once. You can choose to book onto ANY CLASS SLOT that has spaces. You may wish to remain in the slot that you are currently attending.
For April, ALL CLASSES WILL BE MARKED AS FREE, as you have already paid your April membership. Please do not book onto more than 4 classes for April.
On 1st May, we will switch over completely to the Bookwhen system, for ALL classes. At that point, you will need to pay for your classes.
There are two options:
Membership: With a membership, you pay a set £10 fee each month, and then your classes are only £8 each. This is particularly good if you want to take extra classes during the month, as it keeps ALL your classes at £8 (unless they are specialist/workshops). It also means your monthly classes will cost NO MORE AT ALL, despite the booking system being something we get charged for. There is also a long list of benefits that comes with a Membership – you can see more at www.lucypole.com/changeoverFAQs
Single Class/PAYG: If you don’t wish to commit to a Membership payment, you can book, pay and attend on a much more ad hoc basis, with Single Class payments. These are currently £11.50. Especially good if you work unplanned shifts, ad hoc contracts, or are travelling to us from other studios or our of area.
WHAT DOES THIS MEAN FOR ME?
You will no longer be ‘allocated’ to a set class time each week. Classes will be listed on BW (BookWhen) and you log on and book classes to suit you and your life.
What I’d recommend is that on your payday, you log on, and book the classes you want for that month.
WHAT IS THIS MEMBERSHIP BUSINESS? DOES THAT MEAN I DON’T HAVE TO BOOK ON?
Not really. By paying a regular monthly membership of £10, you can access regular weekly pole classes for an amazing £8!! Even WITH the membership fee, that is still an incredibly low price for an Oxfordshire exercise class with equipment.
Memberships are great if you are pretty confident you can make it to most classes, and especially if you think you might want to do extra classes throughout the month.
If you only make it a couple of classes a month, the non-membership PAYG option might work better for you, this works out at £11.50 per class.
DOES MY MEMBERSHIP ROLLOVER?
Yes, your Membership will continue to rollover until you cancel it.
DOES THAT MEAN I HAVE TO PAY EXTRA FOR APRIL?
Nope! You have already paid your membership, so from the SECOND week of April, you will be asked to BOOK ON to the classes you wish to do for the rest of the month (one per week).
SO WHAT HAPPENS IN MAY?
On 1st May, or whenever you get paid/have funds, you will log onto Bookwhen, and book the classes you’d like for May. Obviously, if you have the funds to book ahead of May, you are welcome to.
DO I STILL HAVE TO TELL YOU IF I’M NOT COMING TO CLASS?
Nope! Now that you don’t have an ‘allocated’ class, you don’t have to let me know anything other than injuries or anything relating to long-term sickness. Otherwise, you can literally book and turn up to any relevant class.
AND MOVING FORWARDS? HOW WILL I KNOW WHAT CLASS TO BOOK?
If you are in a group that is quite close, you can all book the same class on the new timetable. For the month of APRIL, all classes are Mixed Ability, and during May, those will start to change on the system to show the ‘level’ of the class. The levels will PROBABLY be as follows (still under discussion/confirmation):
BEGINNER/IMPROVER
IMPROVER/LOW INTERMEDIATE
LOW INTERMEDIATE
HIGH INTERMEDIATE
ADVANCED
This doesn’t mean you can’t attend an Advanced class if you are a Beginner. You can go to ANY CLASS ON THE SCHEDULE, even if it isn’t your level. BUT, you need to be aware that, if you are a Beginner and you book onto an Advanced class, the content will be geared towards Advanced dancers. There will be less spotting, more self-led work, and the moves will all be Advanced. Your Instructor WILL be able to look after you, and all our Instructors will be trained in Mixed Ability classes. If you are in any doubt at the time of booking, please just get in touch – [email protected]
DOES THIS MEAN I WILL HAVE TO POLE WITH STRANGERS?
Well, yes, perhaps. You may meet new LucyPole students. You may meet students from other Schools who might now want to take some classes with us. But this is not for you to be nervous about – it’s a great thing to meet new pole people, and your Instructor will ALWAYS be keeping an eye out to make sure everyone is safe and happy.
WHEN DO I CANCEL MY STANDING ORDER?
You can cancel now, so that your 1st May payment doesn’t go out.
PLEASE NOTE, NO REFUNDS WILL BE MADE FOR OVERPAID MEMBERSHIPS ON 1ST MAY.
It is your responsibility to action the cancellation.
WHAT ABOUT THE FUTURE?
Moving forward, we are going to introduce new Instructors, and new classes. On and off the pole Conditioning, Stretch, Beginner Heels, Dance ….. so much exciting stuff to come!
I’M A REALLY ANXIOUS PERSON AND LOVE COMING TO CLASS WITH THE SAME PEOPLE. WHAT WILL HAPPEN FOR PEOPLE LIKE ME?
If you already pole with a group of people you love, it might be that your class kind of transfers over as a whole. You can message/talk to me about this anytime during April and please know that I will do anything possible to alleviate your anxieties, both in AND out of class.
